POSITION PURPOSE:

Process, provide and continuously update information, training and tools for supervisory and clerical employees.  Create and maintain a safe, clean, and efficient work environment that ensures quality and cost effective handling of CFF’s finished product.  Coordinate all phases of Shipping Department operations with all other departments in order to maximize efficiency and quality plant wide.

ACCOUNTABILITIES:

  

Inventory Function

  • Generates picking lists from sales order STO, top sheets from STO’s and PO’s, confirming authorized shipments into and out of warehouse.
  • Compares identifying information and counts/weights against incoming and outgoing shipments to verify the accuracy of all receiving and shipping documents for authorized shipments (picking lists, top sheets, trailer inspection forms, inbound/outbound bill of ladings).
  • Verifies bill of lading matches warehouse documentation, STO’s, PO’s and picking lists.
  • Verify inventory availability and schedule/confirm pick up/delivery appointments.
  • Follow up on late, no-show appointments, trailer needs, material issues.
  • Communicate issues and follow up with replenishment planners, transportation and customer service representatives.
  • Answer phones and respond to various email requests.
  • Communicate and maintain good rapport with carriers and customers.

Miscellaneous

  • Assist with researching OS&D/STO variances providing appropriate data to local and corporate management.
  • Assists, when necessary, data retrieval and compilation of product under emergency recall conditions.
  • Coordinates daily with Quality Control and Production Departments product receipt and status for verification with other departmental records.
  • Control movement of product in-plant and cold storage for cost-effective warehouse capacity while providing means for orderly FIFO attrition within variable time constraints (workforce and production schedules, transportation timetables, and receiving locations operating times.)
  • Supervises and maintains filing systems designed to expedite information retrieval.
  • Monitors and maintains filing systems designed to expedite information retrieval.
  • Monitors and verifies accuracy of checkers, pullers, and clerks.  Recognizes problem areas and potential error trends and communicates to responsible parties.
  • Adapts procedures, techniques, practices, and systems to constantly changing demands of industry with an emphasis on simplifying and downsizing when feasible.

PRINCIPAL CHALLENGES/COMPLEXITY:

The constantly changing nature of warehousing, distribution, and transportation affects the entire spectrum of inventory control.  One must be prepared to adjust or even change entire methods at any time.

Maintaining in-house storage capacities with the continual influx of production and in-bounds coupled with the fluctuating demands of distribution centers makes strategic placement of product at off-site facilities an extreme challenge.

LATITUDE/DIMENSIONS:

Rational decisions concerning inventory and shipments must be made focusing on customer satisfaction and cost effectiveness.  These decisions are usually made in a “crisis” situation and one must be prepared at all times to act decisively.

KNOWLEDGE, TRAINING, AND EXPERIENCE:

Two to four years related experience and/or training; or equivalent combination of education and experience.  Must be detail oriented.  Ability to read, analyze, and interpret the most complex documents.  Ability to respond effectively to the most sensitive inquiries or complaints.   Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factor analysis.
